Open House Checklist for Real Estate Agents, From Two Weeks Out to Follow-Up

Four stages in order: order the print two weeks out, place the sign chain on the morning, capture the people who walk in, and follow up on paper inside 48 hours.

An open house runs in four stages: order print two weeks out so the postcard lands seven to ten days early, place a directional sign before and after every turn from the nearest main road, capture a phone number from every visitor at the entry table, and mail a printed follow up within 48 hours. The stage most agents underestimate is the sign chain. A listing two turns off a main road needs four directional signs plus the yard sign, and the sign placed just after each turn is the one that stops drivers doubling back.

Quick answer

Order, place, capture, follow up

The checklist is a schedule, not a shopping list. Two weeks out the postcard and the signs go on order, because mail is the slowest moving piece and a card that arrives after the event is money spent on nothing. On the morning you drive the route and place a sign before and after every turn, which is four directional signs for a two turn approach and five if you count the yard sign. Inside the house one thing matters, a phone number written on the sign-in sheet. Then you mail a printed follow up on Monday, while every other agent is sending an email.

The open house directional sign chain from the main road to the front door A route diagram showing a driver leaving a main road, turning onto a side street, then onto the listing street. A directional sign sits before the first turn, just after it, before the second turn, and just after it, with the yard sign at the property. The caption explains that a two turn approach needs four directional signs plus the yard sign. The open house sign chain One sign before every turn, one just after it, so the driver never wonders MAIN ROAD LISTING STREET driver route 1 before the turn facing oncoming traffic 2 just after the turn confirms they turned right 3 before the second turn the one agents skip 4 last block slows them down to look OPEN yard sign + rider A two turn approach needs four directional signs plus the yard sign. Place only two and the driver gives up at the second corner. Signs face oncoming traffic, sit back from the pavement edge, and repeat right after each turn so the route is never in doubt.

Two Weeks Out: Order the Print Before You Need It

Standard postcards printed by 4OVER4, the format agents mail as just listed and open house announcements

Everything that goes wrong on an open house Saturday was decided on a Tuesday two weeks earlier. Print takes production time and transit time, and mail takes longer than either.

Work backward from the open house date. The mailer is the long pole: a just listed or open house postcard should land in mailboxes seven to ten days before the event, and standard class mail is slow and uneven, so the file needs to be at the printer roughly two weeks out. Standard postcards start at $16.48, which is why most agents mail the whole block rather than a hand picked list. If you want the layout worked out before you write copy, the real estate postcard template guide covers bleed, address panel and the space USPS needs, and our direct mail guide covers list and timing.

Signage is next. A real estate sign panel starts at $25 and is a reusable asset, so order it once per brokerage identity and never reprint it for a listing. What you reorder per listing is the rider and the directional arrows. Order arrows in even numbers, because you will lose some and bend others.

Flyers and cards are the fast items, and they are the ones you can leave to the last week if you have to. Do not build the schedule on that. Ordering the whole kit in one go gets it on one truck, arriving as one box, instead of three deliveries you have to be home for.

Placing the Signs on the Morning

Coroplast yard signs printed by 4OVER4 on wire stakes, the directional signs placed along the route to an open house

Give yourself 45 minutes before the advertised start, and drive the route in before you place anything. The sign plan is set by the road, not by the map.

Start at the nearest main road and count the turns. Each turn takes two signs: one roughly 100 to 150 feet before it so a driver has time to slow, and one immediately after it so they know the turn was correct. That second sign is the one agents leave out, and it is the reason people call from three streets away. A two turn approach means four directional signs, then the panel and rider at the property. Our guide to open house directional signs works through the awkward cases, and standard sign sizes covers what is readable at 30 miles an hour versus 45.

Two physical things matter more than design. First, the flutes: coroplast is a hollow fluted board and the wire H stake slides into those channels, so the flutes have to run in the same direction as the stake legs. A panel with flutes running the wrong way sits on the stake for about one gust. Second, the ground: push the stake with a foot, not a hand, and if the verge is hard packed or frozen, carry a second stake and double it up. The cost breakdown in our coroplast sign guide shows why the spare pair is worth having.

Legality is the limit nobody tells you about. Many municipalities prohibit signs in the public right of way, the strip between sidewalk and curb, and some collect them on Monday. Associations add their own rules. Check once for the areas you work in, note it, and place on private property with permission wherever you can. Our yard sign rules guide lays out what to look for.

Inside the House: The Entry Table and the Sign-In

Standard business cards printed by 4OVER4, the card an agent leaves clipped to the property flyer

The entry table does one job: it turns a visitor into a name and a phone number. Everything else on it is decoration.

Put the clipboard at the front, angled toward the door, with a pen that works. Ask for name, phone, and whether they are already working with an agent. Email addresses get invented in the doorway; phone numbers do that less. Behind the clipboard, a stack of flyers with a business card clipped to each one, so the card travels home attached to something the visitor wanted to keep.

Flyer weight is the small decision that changes how the piece feels three hours later. Text weight is cheaper per sheet and folds cleanly into a bag, but it curls in a warm room and looks tired by the afternoon. A cover weight sheet stands up on the table and survives being carried around a house, at a higher price per piece. Our note on flyer paper weight gives the ranges, and flyer distribution practice covers what to do with the ones left over.

Then walk away from the table. Greet, hand over the sheet, say one specific thing about the house, and let people move. Standing over a sign-in sheet is how you get abbreviated names. Write your own notes in the margin the moment a group leaves, while you still remember which couple asked about the roof.

The 48 Hours After the Last Visitor Leaves

Printed postcards from 4OVER4 used for the follow-up mailing an agent sends after an open house

Pull the signs the same evening. Leaving arrows out until Monday is how they get collected by the city or ploughed by a landscaper, and a bent stake costs more in trips than in dollars.

Sunday is for the list. Call the phone numbers first, in the order you wrote them, while the house is still a specific memory rather than one of four they saw. Email the rest. Then send the seller a short written summary of who came and what they said, because the report is what earns the next listing even when this one does not sell.

Monday is for the print follow up. A mailed piece separates you from everyone who only sent an email. A postcard with the property photo on the front and one line about the open house on the back lands Tuesday or Wednesday, sits on a counter, and is still visible when a couple starts talking numbers. Send the same card to the neighbors who did not come, since a well attended open house is the strongest argument that the street is worth listing on.

The other thing to do on Monday is restock. Count what came back, note what ran out, and reorder before the next listing is signed rather than after. Building the reusable set once is the whole point of the real estate print marketing kit, and the open house materials list is a useful cross check against your box.

The Whole Checklist, In One Printable Block

Flyers printed by 4OVER4, the format used for a printed open house checklist an agent carries in a folder

Print this section, put it in the front of the listing folder, and tick it off. Four stages, in order.

Two weeks out

  • Postcard artwork approved and the mailing handed off, so it lands seven to ten days before the date.
  • Directional sign count set: two per turn from the nearest main road, plus the yard sign.
  • Rider ordered with the day and time. The main panel stays as it is.
  • Flyer file built with photo, price, square footage, taxes and your phone number.
  • Business card stock counted. Reorder if the box is below fifty.

The week of

  • Print delivered and checked against the order, including stake count.
  • Route driven once, sign positions decided at the actual corners.
  • Sign rules confirmed for the association and the municipality.
  • Flyers printed at roughly three per expected group.
  • Clipboard, pens, shoe covers and a doorstop in the trunk.

The morning

  • Signs placed 45 minutes early, each one facing oncoming traffic.
  • Stakes pushed in with a foot, doubled up on hard ground or a corner lot.
  • Lights on, blinds up, kitchen and bathroom counters cleared.
  • Entry table set: clipboard at the front, flyers with cards clipped behind it.
  • Phone on silent, notes app or a pen ready for the margin.

After

  • All signs collected the same evening, counted back into the box.
  • Phone numbers called Sunday, in the order they signed in.
  • Seller report written and sent.
  • Follow up postcards mailed Monday to visitors and to the block.
  • Reorder anything that ran out before the next listing is signed.

If you work a fixed farm area, the sign chain repeats every weekend and the arrows are reusable. Order those in a batch from the yard sign range and treat them as equipment rather than as a per listing cost.

Wally runs the open house

Two weeks to order, 45 minutes to place, 48 hours to follow up

Wally, the 4OVER4 mascot with a 4, planting a chain of open house arrow signs from the main road to a front yard and ticking off a printed checklist

Wally sends the postcards two weeks early because the mail is slower than anyone plans for. On Saturday morning he drives the route first, then puts a sign before every turn and one right after it, so nobody doubles back. He pushes the stakes in with a foot and doubles them up on the corner lot. Inside, one clipboard and a working pen. On Monday he mails a postcard while everyone else sends an email.

Common Questions

Your open house questions, answered

How many directional signs do I need for one open house?

Count the turns a driver makes from the nearest main road, then plan on two signs per turn, one placed before it and one just after it, plus the yard sign at the property. A listing one turn off a main road needs three signs. A listing two turns in needs five. The sign after the turn is the one people skip, and it is the one that stops a driver from doubling back because nothing confirmed the turn was right. Buy in an even quantity and keep spares in the trunk, because signs disappear and stakes bend.

Can I put open house signs on public corners and medians?

It depends on the municipality, and the honest answer is that a lot of weekend sign placement is tolerated rather than permitted. Many cities and counties prohibit signs in the public right of way, which usually means the strip between the sidewalk and the curb, and some enforce it by collecting the signs on Monday. Homeowner associations set their own rules, sometimes stricter than the city. Ask the listing agent for the association rules, check the city sign code once for the areas you farm, and place on private property with permission when you can. We cover the detail in our guide to real estate yard sign rules.

How many flyers should I print for an open house?

Print roughly three times the number of groups you expect, because couples take two and a neighbor takes one for a friend. For a normal suburban open house that means 40 to 60 sheets, and unsold flyers are not wasted since they carry into the next showing if the price has not changed. Print single sided if the sheet is a plain fact page and double sided if you are adding a floor plan or comparable sales, which is what people actually study at the kitchen table that evening.

What should the sign-in sheet ask for?

Name, phone number, and whether they are working with an agent. Email addresses get invented on the spot, phone numbers less often. Keep it to one line per visitor and put it on a clipboard at the entry table with a real pen, not a tablet, because a form on a screen makes people feel tracked and they abbreviate. Write your own notes in the margin after they leave, since the useful information is the thing they said about the kitchen, not the fact that they came.

When should the just listed postcard drop?

Mail it so it lands seven to ten days before the open house, which means handing it off two weeks out. Standard class mail is not overnight and transit varies by week, so a card mailed the Tuesday before an open house is a card that arrives after it. If you are running an every door drop around the block, treat the mail date as the real deadline and work the print order backward from there.

Do I need a rider on the main yard sign?

A rider is what turns a for sale sign into an open house sign, so yes if the sign is already in the ground. The panel itself carries the brokerage and your contact details permanently, and the rider carries the changing information, the day and the time. Printing the date into the main panel means a new panel every listing. Order the panel once, order riders in a batch, and swap them.
